We have listed detailed instructions on how to export MARC records for the more commonly used software systems. For other software systems, please contact your software technical support desk.

Please note that the accuracy of our reports depends on your MARC record data. We require full MARC records with your holdings included. Please do not send a circulation system backup. Instructions for exporting are below. For software systems not listed, please see your help menu or contact your software technical support or call us at 800-245-9540.

Be sure to write down where it is you saved your records as you will need to retrieve them in the final step! Go to Step 3

Accent Express: Individual Schools only
  1. From the Cataloging tab, click Export.
  2. In the Select and Sort by section of the screen, open the list and choose a range type. Then use the Range from and To boxes to specify the range. Be sure to send all your MARC Records.
  3. In the Export File box, enter the full path and name of the export file. Name the file your school’s name for identification.
  4. Click Export. Save the file to your desktop.
Accent Expert: May send all schools in district together
  1. In Accent go to reports. Import/Export – Extract keys for Marc Export – schedule – chose tab selection criteria. Skip copy selection – go to Call number selection choose Library use gadget to select library name – Number of copies greater than zero. Schedule the report OK. After report is run, close out of reports. (When exporting all schools at the same time go to TITLE LEVEL and choose all libraries).
  2. Go to Marc Export Utility Wizard in Cat toolbar. It will mention the date records dumped: -- Yes, export records – How many records per volume (put 1000000) – OK – Include 999 holdings --- Format of the output file Marc – File to export (use gadget) vol001 – OK – It will say command in progress on bottom of screen – then it will say program not found – click OK.
  3. Name the file the school’s name for and save to your desktop.
Alexandria MAC:
  1. Go to File
  2. Choose Utilities
  3. Choose Export Item
  4. Choose Format (MARC)
  5. Save to your desktop. Run.
  6. Name the file the school's name for identification.
Alexandria Window v5.4 or Higher:
  1. Go to File and select Export
  2. Select Export Items under Export Type
  3. Under Operation select MARC
  4. Under Selected By, All Items should be selected
  5. Make sure you choose all copies if asked
  6. Hit the Run button.
  7. After the file is completed, save it to your desktop.
  8. Name the file the school's name for identification.
Athena:
  1. Select the Cataloging tab at the bottom of Athena window
  2. Select Export/Extract MARC records
  3. In Select and Sort by box, select No Order.
  4. Select Multiple Records.
  5. Browse for the file location (box with 3 dots: select c:\ ) and enter your school’s name with the extension .mrc (NOTE: File extension must be .mrc or .001)
  6. Save to your desktop. Click on the Export button.
CASPR/Library World:
  1. Select the records you want to export using the check boxes in the List Window.
  2. Select the Export command under the File menu.
  3. Select the MARC submenu command.
  4. Name the file the school's name and select a location to store it.
  5. Save to your desktop.
Follett:
  1. In File menu, go to Export MARC 21/852 Holdings Format.
  2. Choose No Range export method from the submenu.
  3. In the Export MARC 21/852 Holdings Format dialog box, check the All Records and Include Copy Information.
  4. Name the file the school's name for identification.
  5. Save to your desktop. Click “Export”.
Follett Destiny:
  1. Go to your URL address and login
  2. Under the Catalog tab click Export Titles
  3. Click Export button
  4. Under the Back Office tab click Job Manager to view export process
  5. When export is completed, save by clicking View, Export file and Save to your desktop using your school’s name.
 
Genesis:
  1. Go to Catalog Management
  2. Select MARC Import/Export and then choose Export
  3. Type school’s name in export file with this extention: .mrc
  4. Click the three dots next to file to save to your desktop
  5. Check the box next to Export Holdings Information
  6. Select Process on tool bar, then Start Export

Horizon:
  1. Log-in, click Admin on bottom of left-hand side.
  2. Open the Export_target table in Table Editor, click New.
  3. Enter a code and description for the new Export_target.
  4. Enter the tag in which to put item information.
  5. In the Item Columns blank, add the column name from the item table and the MARC subfield for each piece of item data you want to export (e.g., location, collection, call number, n_ckos, internal_note, etc.), clicking the New button in the blink between entries.
  6. Name the file your school’s name and save to desktop. Click Save
  7. Close Horizon and log back in for the new settings to be recognized

Library Solutions (TLC):
  1. Go to Cataloging Utilities
  2. On File menu, select Extract Records
  3. Choose Copy to File
  4. Name the file your school’s name and save to your desktop
  5. To begin the records select OK
  6. For technical support call TLC at 800.852.4911
Mandarin:
  1. Go to Cataloging
  2. In Cataloging, go to Edit, Search
  3. Delete the word Subject and type in 001. In the line below type in an * (shift 8).
  4. Click on Search and all books in your system will come up.
  5. Right click your mouse on a blank (white) area of the screen, which will give you the option to Select All.
  6. When all items are checked, go to File and then Export. Leave it on Standard Export.
  7. Click OK.
  8. Save the file as your school's name to your desktop. Click Save.
Sirsi:
  1. Click the MarcExport Utility wizard
  2. Click Yes, Export Records.
  3. Select the Include 999 Holdings Tag check box
  4. Clear the Save Exported Records to Server box. For the Format of the Output File option, click Marc for the MARC record format.
  5. In the download exported file menu, type your school’s name and save to the desktop, click OK.

Winnebago Spectrum:
  1. Go to Menu, select Materials, then Export.
  2. Select All Materials (in MARC File Order) from Export menu.
  3. All the options should gray-out except for the output file.
  4. Select the Format: USMARC/852 Holdings Data
  5. In the Output file field, enter the school's name.
  6. Click on the Export button.
